NIC Policy 3.08.06 Media Sanitation and Disposal Guidelines

Summary

This guideline provides a general overview of the process used to ensure that Media is sanitized on electronic storage devices when that media is transferred to another department or disposed of.

Body

When electronic computing devices or electronic storage media are to be transferred to another department or are marked for disposal, NIC Information Technology Coordinators will work with appropriate supervisors to complete the following steps:

  1. All electronic computing devices or electronic storage media must be overwritten using NIC-approved and validated overwriting technologies/methods/tools without exception:

  2. Only instances involving an inoperable hard drive that cannot be cleared will require its’ removal from the electronic computing device in order to ensure proper destruction.  Inoperable electronic computing devices and/or electronic storage media must be isolated and secured until properly destroyed.
  3. The designated Information Technology Coordinator must fully document the item(s) to be transferred or disposed of.
  4. Any disposal of NIC equipment must follow the appropriate guidelines for surplus property.
  5. Upon approval, the item(s) may then be transferred to the new Department or Division, or processed through surplus procedures.
