What is the 'ERS'?

The Equipment Replacement Schedule (ERS) is a four-year computer life cycle plan that covers purchasing, deploying, supporting, servicing, and retiring college owned computers. Replacement computers are purchased in bulk four times a year, in July, November, February, and May.

Why do I need a new computer?

In order to avoid the support costs associated with out-of-warranty hardware, and to ensure all employees have reliable technology, we replace computers at the four-year mark.

Can I switch to a different model?

Yes, with supervisor approval. The hardware model you request must be on the computer hardware models list. Your supervisor needs to notify the IT Help Desk and approve your change request before the ERS purchasing period ends.

Can I wait to replace my computer?

Yes, you can opt out of a replacement in the short term with supervisor approval.

What new equipment will I get?

We will replace your existing computer with a similar model including similar peripheral equipment.

How do I preserve my files and web site bookmarks?

We encourage you to make a backup of the files and bookmarks that are stored on your existing computer prior to receiving the replacement. Please see our documentation on Box and Microsoft OneDrive file storage options. If you aren’t comfortable making backup copies yourself, please speak with your technician and ask for assistance.

Will I have two monitors?

Yes, we can leave an existing monitor in place and install a new monitor next to it to create a dual display.

Can I have two matching monitors?

If you want your monitors to match, you must get approval to add a second new monitor to the ERS purchase. The cost of a second monitor will be charged back to your department.

When will the transition take place?

When your new computer arrives at the IT Help Desk from the vendor, a technician will send you an email with a link to a deployment form. Please complete and submit the form in a timely manner. You will be notified again when the new computer is ready to be installed and can set an installation appointment with the technician at that time. 

Do I need to be in my office during installation?

No, you do not need to be in your office during the installation.

How long will it take?

We ask for a full hour to remove old equipment and replace your computer.

Can I buy my old computer?

No, under the rules of the Equipment Replacement Schedule, ownership of retired NIC computers cannot be transferred to employees or students.

What happens to my old computer?

Retired computers are securely erased and then sold. The proceeds are deposited in the equipment replacement fund. The fund also provides for classroom, lab, and IVC equipment.
