What is OneDrive?

OneDrive is Microsoft's service for hosting files in the cloud. It offers users a simple way to store files that are accessible online, locally synchronize to any device, and share this information with other devices as well as NIC employees and students.

OneDrive Access

  1. Access your Office 365 by logging into your MyNIC account. Click on the Cardinal Mail button.
  2. Click on the App Launcher and choose OneDrive.

 Create New File

  1. To create a file or folder inside OneDrive, click on New.
  2. Choose what you would like to create. You can create a new folder or a Word, Excel, PowerPoint, or OneNote document as well as a link to a file or web page.

Upload Files

  1. To upload a file, click + Add New.
  2. Choose if you want to upload individual files or a folder.
  3. Find the file or folder and select it, choose Open. Your files or folder will upload to the cloud and should appear in OneDrive.

Open Files

  1. Select the file you would like to open by clicking once on the file name.
  2. By default, the file will open inside of Office 365 in a new browser tab.   For example, Word documents open in Word online. Any changes made to this document will automatically save to the cloud.
  3. To open in the full version, click Editing and select Open in Desktop App.
  • Note: This works for Word, Excel, PowerPoint, and OneNote. 
  1. When you are finished, close the tab to the document you have open to return to OneDrive.

Sharing - via Email

  1. To share a file or folder from within OneDrive, choose the radio button next to the file or folder.
  2. Choose Share.
  3. For each person you would like to share this file or folder with, enter their email address. Add any message in the message area.  Note: Only NIC employees and students can be included.
  4. By default, OneDrive gives Edit permissions to shared files and folders.  If you do not want to allow editing, go to Step #5, otherwise click Send.
  5. To change permissions to View Only, click on the edit icon and select Can View.  Once it is changed to View Permissions, click Send.
  6. Uncheck the Allow editing box, then click OK.
  7. You should now see that the item is View only. Click Share.

Sharing - via Link

  1. To share a link to a file or folder from within OneDrive, choose the radio button next to the file or folder.
  2. Choose Copy link.
  3. By default, OneDrive gives Edit permissions to shared files and folders.  If you want to allow editing, click Copy. If you want to change permissions to view only, go to Step 5.
  4. Once you see Link Copied, the copy was successful. You can now paste this link where others can access it (i.e. in an email, a Word document, etc.). Note: Users will need this link to access the file or folder you have shared.
  5. To change to View only.  Click Settings.
  6. Click Can Edit and select Can view.  Once it is changed to view permissions, click Apply.
  7. You should now see view permissions and it automatically copies the link.  When you see Link Copied, the copy was successful. You can now paste this link where others can access it (i.e. in an email, a Word document, etc.). Note: Users will need this link to access the file or folder you have shared.

Stop Sharing

  1. Select the radio button next to the file or folder.  Click the ... to the right of the folder name and select Manage Access.
  2. From here, you can remove people and/or links by clicking the trash icon beside the person or link.
  3. Confirm by clicking Remove.

Local Access - Get OneDrive

  1. Download OneDrive from: https://onedrive.live.com/about/en-us/download/ .
  • Click the Start OneDrive button, or it may say download if you do not already have OneDrive installed locally.
  • Note: Windows 10 and 11 has OneDrive installed by default, so you will see a Start OneDrive button.

Local Access - Setup OneDrive

  1. Open OneDrive. 
  • When OneDrive starts, enter your NIC email address and click Sign in.
  1. Change the default OneDrive folder location or click Next.
  2. Choose if you want to back up folders on your PC for Documents, Pictures, or the Desktop.You can select the toggle next to each folder to decide if you want to back of each folder.If you do not want to back any folders click, I’ll do it later.If you do want to back up folders, click Start backup.
  3. Click Next on the Get to know OneDrive screens.
  4. Click Later or Get the mobile app to set this up on a mobile device.
  5. On the Your OneDrive is ready for your screen, click Open my OneDrive folder.
  6. You should now have a OneDrive for business showing in your file explorer called:OneDrive – North Idaho College
  • Note: Any file or folder saved under OneDrive locally will automatically sync to your online OneDrive account as long as you have internet access.

Syncing with Office

  1. Ensure you have Office installed and open Word. Click on Sign In in the top left.
  2. Enter your NIC email address and click Next.
  3. Click Yes on the next one or two pop-up windows to allow.
  4. You will be routed to the North Idaho College login page. Your email address should already be displayed, enter your NIC password and click Sign In.
  5. You should now see that you are signed in.

Get the OneDrive App

  • Click here to access the OneDrive app for Apple devices.
  • Click here to access the OneDrive app for Android devices.
  • Click here to access the OneDrive app for Windows devices.
