Create a Group

Sign into Regroup

  1. Sign into the https://my.nic.edu/ portal.
  2. Search for Regroup and select Admin Login.
  3. Click Regroup.

Create a Group

  1. Click Recipients.
  2. Click Create Group.
  3. Type in your Group Name.
  4. Enter a brief description.
  5. Under Parent Group, select the appropriate department such as Financial Aid, Student Accounts, Outreach etc… Do not select North Idaho College. This is not a required field.If the locations listed do not fit your needs, leave it blank.
  6. Admin Privacy: Leave at Restricted.
  7. Opt Out Settings: Leave at Allow contacts to opt-out of notifications.
  8. Do not change Location, Group Channel, or Auto-Delete Group.By default, these should be unchecked.
  9. Click Create Group.

Create a Sender Profile

  1. Click Channels.
  2. Click Sender Profiles, on the left-hand side.
  3. Click + New Sender Profile, located in the upper right-hand corner.
  4. Type the Sender Profile Name. This should be the same as your group name, with the word profile after it.Example: If the group name is Help Desk, the Sender Profile name should be Help Desk Profile.
  5. Under sender information, click Custom. Enter the Name you want your emails to show from and email address. Example: IT Help Desk and helpdesk@nic.edu.
  6. Under Email > Reply To, select Use a custom reply-to email address.
  7. For Subject Prefix, choose Do not use a prefix or Use a custom prefix. A prefix is added before the subject line in an email.You could add a prefix, such as Dual Credit, Financial Aid, or Announcements as examples.If you prefer, you can select Do not use a prefix.
  8. For the Footer, do not use the default footer. Please select Do not use a footer or Use a custom footer. This is like the signature field for your email.
  9. The Text/SMS Prefix is not required.This would be a prefix such as North Idaho College that would be added prior to your text message.
  10. Share With settings should be set to Select Group or Channels or Individual Admins and add the name of your Group. All group admins can then see and use this sender profile.
  11. Click Create.

Group Processing Styles

  1. Go to your group by clicking Recipients and click the name of your group.
  2. Click + Import & Add Contacts.
  3. Click Settings.
  4. Choose your Membership Processing Style:
    • Add Only – Adds new Admins and Contacts. Does not delete Admins or Contacts who do not appear in the file.
      • Static – Contacts of this group will have no impact by the SFTP import at the network level other than adding new information.
  • Add & Remove – Adds new Admins and Contacts. Removes Contacts who do not appear in the file with Group assigned.
  1. Click Save.

Note: If you select Add Only, or Add & Remove without Static, your contacts will be removed nightly due to Network Level imports. If you select Static, you will need to go to Contacts, select them all and click Remove before uploading a new CSV file.

Sign into Regroup

  1. Sign into the https://my.nic.edu/ portal.
  2. Search for Regroup and select Admin Login.
  3. Click Regroup.

Upload CSV File

  1. Click Recipients.
  2. Under My Groups, click the name of your group.
  3. Click + Import & Add Contacts, in the left-hand side menu. Note: Depending on your group processing settings, you may need to click Contacts and remove your contacts before uploading a new CSV file.
  4. Click Import Contacts from CSV File.
  5. Click Browse.
  6. Browse to your CSV file and click Open.

Note: Your CSV file header needs to be db_id and only include Colleague ID numbers.  There is a limit of 4000 users that you can upload at a time. 

  1. Click Upload
  2. In the Map Your Data section, under Assign Contact Attribute, select Databaseid. 
  3. Click Add Contacts.

Post a Message

  1. Click New Message in the menu at the top of the screen.
  2. For Message Type, select Ad Hoc Message.
  3. For Recipients, select the drop down for Add a Group.Search for and select your group name.Example: Financial Aid Office.
  4. For Delivery Methods, Email and Text are selected by default.Adjust for email or text if needed by clicking Email or Text/SMS.
  5. For Sender Profiles, select Use Predefined Sender Profile.Select the drop down to search for and select the sender profile for your group.It will be the group name with the word profile.Example: Financial Aid Office profile.
  6. Enter a Message Title. This is like a subject line for an email. This is a required field, even if you are only sending a text message. If sending a text message, the Message Title will not be seen in the Text/SMS.
  7. Choose your options:
  • Custom content for each delivery method: This is for sending both an email and text message but you want the content to be different for each method.  By default, it is not selected and what you type in the body of your email message will copy to your text message content.
  • Include Link to Full Post in SMS/Text Message: This will include a web link for SMS recipients to view the full content from the Message Body in their web browser.  Please note that the link does not work for Preview Message and Send Test to Myself. 
  1. Draft your message.Regroup 2.0 as a new feature: Personalized Fields.You can now include fields in your emails, such as first name and id number by using the Personalized Fields menu.
  2. Once you are done drafting your message, you can preview it by using the Preview options.When ready, click Send.

Note: When using the Preview option Send test to Myself, the personalized fields and the Regroup text link to full post are not active.  Once the message is sent, it will pull personalized fields based on contacts and/or insert a working link if your text is beyond 160 characters.

Two-way Texting

Regroup 2.0 allows two-way texting.  Once you have sent a message, you can see if students have replied to the text message and respond to their text within the Regroup platform.  To see if students have replied to the text:

  1. Sign into Regroup.
  2. Click Messages.
  3. Under Replies, you can see if there is a reply.Click the name of the message to view the replies.
  4. By default, you will see the Reports tab.Click Replies.
  5. Highlight the reply and format your response.Click Send Message once complete.

Limitations: There are no email notifications when a student replies and no settings to configure this currently.  A request was submitted to Regroup.  Additionally, when you upload a new CSV file, if that student is removed from the group, you can no longer respond to a text message.
