Logon to 25Live

  1. Logon to MyNIC, type 25Live and hit enter, then click 25Live
  2. Click Sign—In, located in the upper-right hand corner
    • Note: Chrome is the recommended browser for 25Live

Create an Event

To request a room, begin creating an event in one of the following ways:

  1. Click on the Event Wizard tab
  2. Click the Create an Event button on the Home tab Dashboard

Event Name

  • To ensure that searches pull all fleet listings, when naming an event for Fleet Services, please use: Fleet Reservation - Department Name
  • Name your event in a way that will be understandable to others
  • Do not include the name of the Scheduler or Requestor
  • Limit 40 characters and avoid acronyms

Published Calendar Event Name

  • Publish Calendar Event Name is not a required field
  • Published field if used
  • If acronyms are used in the above Event Name due to character limitations, use unabbreviated words in this field
  • Limit to 120 characters

Event Type

  • Type Fleet Services and select Fleet Services in the dropdown
  • This cannot be changed after an event build has been completed

Primary Organization

  • Select the department or division responsible for requesting a room
    • Select from your list of favorite organizations
    • Begin typing directly in the text box
    • Click on Browse...
  • For external organizations select or type in External Organization

Additional Organizations

  • For co-sponsored events, select an additional organization involved in this event

Click Next

Expected Head Count

  • For Fleet Services, the Expected Head Count will determine the size of the vehicle
  • Enter the event’s expected head count

Event Description

  • Description for Fleet Services is the purpose for using the Fleet Vehicle
  • Information entered the event description will appear in the 25Live Event Detail view and Calendar
  • This is an ideal location to display the URL or any additional public information

Click Next

Repeating Event

  • Click No, Fleet Services cannot have multiple occurances.  Each occurance needs to be a new event.

Event Time

  • Specify the pickup time for the vehicle.  This time is what will be used to make sure the vehicle is fueled and ready for clients to use.
  • Event end is the expected time the vechile will be returned by client.

Click Next

Find and select Locations

  • Your Starred Locations…
    • Select from your Starred Locations list if you have previously Starred a Fleet Vehicle
  • Search by Location Name…
    • Type FLT and select Enter for Fleet Reservation vechiles
  • Saved Searches…
    • Select from your Saved Searches list if you have previously saved a Fleet Vechile Reservation
  • Advanced Search options can help optimize your search

Select a vehicle that meets your needs.  It will show under Selected Locations on the right-hand side of the screen.  If the vehicle is not available, the reservation cannot be saved.  Click Next.

Resources

Resources can be defined as equipment or services that are not associated with a specific location

Schedulers can select:

  • One or more resource per event
  • Select resources for a specific event in an occurrence

Note: Events cannot be saved if selected resources are unavailable.  25Live also keeps track of the number of resources available and schedulers cannot specify more then what is available.

Click Next

Attach a File

Attach important files here.  These files may be:

  • Event Agenda
  • Images
  • Layout specs or maps

Click Next

Custom Attributes

  • This field is a place where additional information can be tracked

Destination - Required

  • Type the Location of where you are going

Budget Code- Required

  • Clients Department Budget Code that will be responsible for charges

Organizer Contact Information - Student

  • List ONLY student drivers

Fill out Custom Attributes and click Next

Contact Roles

  • Every event must have a Requestor or a Scheduler
  • The person who created the event will automatically be listed as both
  • Scheduler is the event’s creator
  • Requestor will be the person requesting the vehicle for use
  • Additional Contact is any other responsible person changed with the event that is not listed above - Supervisor or Division Chair
  • Billing Contact is the budget manager
  • All possible staff or faculty drivers must be listed under the Drivers fields
  • Student Drivers are to be listed in the CUSTOM Attributes section under Organizer Contact Inforatmion - Student

Fill out Contacts and click Next

Requirements

Will not be needed for Fleet Services.  Click Next.

Calendar Requirements

There are no calendars to publish this Event Type.  Click Next.

Additional Comments

  • For Fleet Services this may be used to request back seat removal, trailer hitch installation or any other special request for clients
  • The information is only viewable by the Scheduler, Requestor and Service Providers

Type any additional notes and click Next

Terms and Conditions

This is a required field and is simply a check box that states you agree with North Idaho Colleges terms and conditions. 

Select I agree and click Next and click Save.

"This event has been successfully saved" should appear at the top of your screen.

NOTE: Vehicle Reservation will not be confirmed until Fleet Usage Agreement has been filled out. signed and returned to Fleet Services.

 

Fleet Usage Agreement

E-mail

The Supervisor or Division Chair will receive an e-mail to sign the Fleet Usage Agreement in Adobe Reader (this is free software already installed on your PC).  This form must be e-mailed back to Fleet Services to confirm your reservation. The form received will depend on the reservation.

  • Double click the document to open it.  The Tools menu in Adobe Acrobat Reader is often collapsed.  Click on the arrow on the right-hand and side of the screen.
Documents:
  •  Vehicle Assignment Department Authorization Agreement  
  •  Vehicle Assignment Agreement
Fill & Sign
  • In the Tools menu, click Fill & Sign.  Click in the Authorization Signature or Driver’s Signature box, located at the bottom of the document, and type your name. Click in the Date box and type in the date.
Return E-mail
  • Click the e-mail icon in the upper left-hand corner and click Send File…
  • Leave the Default email application (Microsoft Outlook) selected

Click Continue

  • In the To… field type Hiedi Shrader’s e-mail address Hiedi.Schrader@nic.edu 
  • Type any additional information in the body of the e-mail and click Send

Note: If the PDF opens in another program, such as Edge, the fill and sign functions will not work.  Please contact the Help Desk at (208) 769-3280 for assistance changing your default PDF reader.
