Profile Images

Users are allowed to change their profile images in some NIC systems such as Cardinal Mail and Canvas. The institutional photo used on your Cardinal Card is the default image used by NIC.  Users can change their images on some systems*, but images should follow the appropriate guidelines:

Guidelines for Image Use:

  • Photographs must represent the individual solely.
  • No group, family, pet, or images representing anything other than the individual may be used.
  • Caricatures, sketches, or cartoons may not be used.
  • Photographs may not contain additional filters or effects, other than professional retouching.
  • Hats or other headgear that obscure the hairline or could limit recognition of an individual by casting shadows on the face may not be used unless the headgear is worn daily for religious purposes.
  • Images must be full face, front view with a plain background.
  • Photographs must be in color.
  • Dark glasses, sunglasses, or non-prescription glasses with tinted lenses are not acceptable unless required for medical reasons.
  • Photographs should be taken in normal attire and represent an individual from the bottom of the chin to the top of the head.

If an inappropriate image is reported to the Help Desk, the Help Desk will assess the image based on these guidelines.  If an image fails to meet these guidelines or is deemed highly inappropriate the following actions may be taken:

First Offense:

  • The image will be removed from the profile.
  • The user will receive an email stating that the image has been changed.
  • The user will be given an additional opportunity to change the image to an appropriate image meeting the guidelines above.

Second Offense:

  • The image will be removed from the profile.
  • The user will receive an email stating that the image has been changed.
  • If the user is a NIC employee, the employee's supervisor will be CC'd on the message.
  • The user's institutional image will be used for the profile and the user will be unable to change the image in the future.

*Please Note:  The image on your NIC Identification Card may only be changed through the Cardinal Central office. This image is used for validating user information much like a driver's license and is used in many different NIC administrative systems.  Users cannot change this image and must have a new photo provided by the Cardinal Central office.  A replacement card fee may also be required.  Please see the Cardinal Card website for more information.
