What is Zoom?

Zoom is a high definition video conferencing and desktop sharing software that can be used for meetings, screen sharing, and group messaging on Windows, Mac, iOS, and Android.

Zoom Download Options

Download Zoom Client for PC or Mac

  1. Go to: https://zoom.us/download
  2. Click once on the Download button under Zoom Client for Meetings and follow the prompts

Download Zoom Plugin for Outlook PC

  1. Go to: https://zoom.us/download
  2. Click once on the Download button under Zoom Plugin for Microsoft Outlook and follow the prompts

Get the Zoom Add-in for Outlook Online

If you are using Outlook Online, you can use the Zoom Add-in for your calendar.  Click here for a full PDF with screenshots.

  1. Go to Zoom for Outlook in the Microsoft App Store.
  2. Click Get It Now.
  3. Follow the Microsoft App Store prompts to complete the installation.

Note: If you do not see the icon, you may need to click on the three dots and it will show there. Mac no longer supports Plugins.If you have a Mac, you can use the Outlook Online Add-in.

Sign in to Zoom

Sign in to the Zoom Client

  1. Open the Zoom Client and click Sign In
  2. Choose Sign In with SSO
  3. Type "nic" in the domain field and click Continue
  4. Login with your MyNIC credentials
  5. If prompted, check the box "In the future, do not show this warning" and click Yes
  6. Your Zoom account will open

 

Join a Zoom Meeting

Join a Zoom Meeting from the Zoom Client

  1. Open Zoom and click Join a Meeting
  2. If you already logged into Zoom, choose the icon labeled Join
  3. Enter the meeting information and click Join
  • Meeting ID or Personal URL will have been given to you by the meeting provider
  • Type in a Screen Name you want to use (ex: First Name)
  • If you want your video camera off by default, leave "Turn off my video" checked
  1. Once connected, choose how you would like to join the audio - by phone call or by computer.
  • Phone Call: Dial the number listed.  You will be asked to enter the Meeting ID or Participant ID.
  • Computer Audio: Choose computer audio if your computer or webcam has a built-in microphone, or if you are using a headset connected to your computer.

Join a Zoom Meeting from an Outlook

  1. If you receive a Zoom Meeting via email, click or tap the link from a PC, Mac, Linux, iOS or Android to join the meeting.
  2. Once connected, choose how you would like to join the audio - by phone call, by computer, or call me.

Schedule a Zoom Meeting

Schedule a Zoom meeting with the Zoom Client

  1. Open Zoom and click on the Schedule icon
  2. Select a date, time and any options. Click Schedule
  3. An email will open with your meeting information. Add participants and any other relevant information you want to include before the meeting information.Click Send.

Note: your participants do not have to have a NIC email or account to join the meeting.

Schedule a Zoom Meeting with Outlook

  1. Open Outlook and click on Schedule a Meeting Zoom (available if you have installed the Zoom Plugin for Outlook)
  2. Choose your meeting options (suggestions below):
  1. An email will open with your meeting information. Add participants and any other relevant information you want to include before the meeting information. Click Send.

Note: your participants do not have to have a NIC email address or Zoom account to join the meeting.

Schedule a Zoom Meeting with Outlook Online

  1. Open Outlook Online and click on the Zoom icon
  • Note: If you do not see the icon, you may need to click on the three dots and it will show there
  1. Click Settings and choose your Meeting and Advanced Options
  • Note: If Zoom wants to display in a new window, click Allow.  If prompted to sign in, select Sign In with SSO and type “nic” for the domain
  1. Click Add a Zoom Meeting

Scheduling Privilege

Scheduling privilege is designed for a user or an administrative assistant to:

  • Assign or delegate a user or multiple users in your account to schedule meetings on your behalf. 
  • You can also schedule meetings on behalf of a user (or multiple users) that has assigned you scheduling privilege.
  • Users with Scheduling Privilege on your account will be able to manage and act as an alternative host for all meetings.

To assign scheduling privilege:

  1. Sign-in to the Zoom Web Portal: https://nic.zoom.us/
  2. Click Settings, then click Other
  3. Under Schedule Privilege, click + next to Assign Scheduling Privilege to
  4. Type the email address of the person you want to assign scheduling privilege to and click Assign

The person you assigned can now schedule Zoom meetings for you!  In their Advance Options when scheduling a Zoom meeting, they will see a new option to Schedule for:

Zoom Client Features

Audio and Video

To change your audio or video settings quickly, choose the microphone or video icon in the lower left of the Zoom screen.

End Meeting

To end the meeting choose the End Meeting link in the lower right of the Zoom screen.

Other Features

From the Zoom main screen, you can:

  • Adjust Security Settings
  • Invite other participants to join the meeting
  • View and manage participants
  • Chat using the Zoom chat window
  • Share your screen and adjust screen share settings
  • Record the meeting
  • Place participants into Breakout Rooms
  • React during the meeting without interrupting
